Look Digital Signage Review: Can It Automate Your Screen Workflows?

A sold-out product should not stay on a digital menu board because nobody remembered to update the signage CMS.

A meeting-room display should not need a receptionist to retype information that already exists in Google Calendar. And if an operational alert changes status, someone should not have to create a new slide before the message reaches the right screen.

These are small problems when a business has one display. Across 20, 50, or 200 screens, they turn into a workflow problem.

That is a useful way to evaluate Look Digital Signage. The platform covers the standard digital signage stack – content creation, playlists, screen layouts, scheduling, remote management, analytics, interactive content, and offline playback – but the more interesting part is what happens when screens are connected to other business systems.

Look supports built-in data apps, Zapier workflows, external Action Links, and custom API integrations. In other words, a screen does not always have to wait for somebody to log into a CMS and decide what should appear next.

What Does Digital Signage Look Like?

Look is a cloud-based digital signage CMS used to create, schedule, publish, and monitor content across connected displays.

The company reports more than 60,000 connected screens, 11,000 users, and customers in 120+ countries.

It supports a broad hardware environment, including Windows, Android, Google TV, Linux, macOS, Fire OS, Raspberry Pi, LG webOS Signage, Samsung Tizen, Amazon Signage, and dedicated Look media players.

Hardware flexibility becomes more important as a signage network grows. A company with a mixed fleet of existing displays may have little reason to replace working hardware simply to standardize the software layer.

Inside the CMS, users can create content, organize playlists, build multi-zone layouts, schedule campaigns, group screens, manage user permissions, monitor playback, and control displays remotely.

But before comparing individual features, it helps to answer a simpler question:

How dynamic does the screen actually need to be?

Use the Simplest Automation That Fits the Job

Not every signage solution project needs an API.

Most screen content fits into one of four categories.

Predictable content should usually be scheduled.

A restaurant can switch from breakfast to lunch content at 11 AM. A retailer can activate a weekend promotion automatically. A factory can run different safety messaging for different shifts.

Look supports schedules based on time, date, and day of the week. Specific schedules and content can then be assigned to selected screens or screen groups.

Continuously changing information is better handled through a live source.

Weather, dashboards, RSS feeds, reviews, social content, business metrics, or web-based information usually should not be turned into screenshots that somebody must replace every morning.

Event-driven content needs a trigger.

A booking is canceled. A meeting begins. A KPI crosses a threshold. A product status changes. Something happens in another system, and signage needs to respond.

Complex proprietary data is where direct integrations and APIs become relevant.

The source may be a POS system, an internal database, a custom booking platform, a sensor network, or another backend with its own business rules.

This framework matters because custom development is not automatically “better” than signage. If a schedule solves the problem, use a schedule. If a live widget solves it, there is no reason to build a webhook.

Zapier Turns Business Events Into Screen Actions

Look’s Zapier integration is one of the easiest ways to move beyond scheduled playlists.

Zapier currently exposes a Look action called Send Action. It can be paired with trigger apps inside Zapier’s broader ecosystem of more than 9,000 applications.

The important distinction is that this does not mean Look has 9,000 native integrations. It means a Look action can participate in Zapier workflows triggered by supported third-party apps.

That includes familiar tools such as Google Calendar, Google Sheets, Calendly, Asana, HubSpot, Gmail, Notion, Microsoft Excel, Slack, Stripe, and others.

This is useful when the information already exists somewhere else.

A Calendar Event Changes What Appears on Screen

Imagine a coworking space with meeting rooms managed in Google Calendar. There is little value in asking reception staff to maintain the calendar and then recreate the same event manually inside the signage CMS platform.

Instead, a Google Calendar event can act as the trigger for a predefined Look Action – for example, switching a room display to the relevant meeting layout when the event begins.

The workflow becomes:

Calendar event → Zapier → predefined Look Action → relevant layout changes

The screen becomes an output of the calendar rather than a second database that staff must maintain.

A Spreadsheet Becomes an Operational Trigger

Google Sheets may sound less sophisticated than a custom API, but many businesses already use spreadsheets for campaign lists, events, stock flags, targets, or daily operational data.

Zapier can trigger a Look Action when a row is created or updated. That can be enough to automate a surprising number of workflows.

A regional manager changes a campaign status in a shared sheet. A display switches from one predefined state to another.

A team hits a daily target. A recognition message appears on the office screen. An event is marked canceled. The corresponding information no longer needs to remain in the signage rotation.

The technical sophistication is not the point. The useful part is eliminating a second manual update.

A Completed Task Can Become Internal Communication

The same logic applies to project management software. Asana events, such as a completed task, can be used as triggers in Zapier workflows with Look.

That creates practical internal communication scenarios. A completed project milestone could activate a team recognition layout. A launch task could trigger a predefined announcement on internal displays.

Again, the source of truth remains the business system where the event actually happened. The signage layer reacts to it.

Zapier works well when the trigger comes from a supported SaaS tool. But not every business system lives in Zapier.

Look also provides Action Links, which allow an external system to call a predefined Look Action through an HTTP request using the required authentication.

This creates a useful middle layer between no-code automation and a larger custom development project. If an internal system already knows how to send an HTTP request, a company may not need Zapier at all.

And if the goal is simply to tell a predefined layout to change state, it may not need a broad API implementation either. Consider a restaurant chain.

If its POS or integration layer can detect that a menu item has become unavailable and send an HTTP request, it can call a Look Action Link and activate a predefined sold-out state in the layout already deployed to the relevant screens.

The same pattern could work in manufacturing.

An internal monitoring platform detects that a KPI has crossed a threshold. It calls an Action Link, activating a predefined alert state on the operational layout already running on selected displays.

The architecture is straightforward:

business event → rule → predefined action → screen state

This is a more useful model than continuously asking the signage CMS whether anything has changed.

Build API Workflows Around Events, Not Constant Polling

For more complex projects, look also at documents on custom API integrations. The important question is not “Can we connect this system?”

It is:

What event deserves to change what people see?

Look itself recommends favoring event-driven updates and avoiding excessive polling.

That is good integration design in general. If inventory changes only a few times per day, repeatedly checking the database every few seconds adds complexity without adding much value.

If a screen only needs to react when a booking is created, canceled, or started, those events should drive the workflow directly. Examples of useful trigger events include:

  • new bookings or cancellations;
  • price changes;
  • support or operational alerts;

  • Status changes in internal systems.

Defining those events first also makes an automation much easier to test.

You know what should trigger the change, which predefined screen state should appear, and what should happen when the event ends.

Dynamic Content Should Eliminate Expired Information

Not every changing data point needs Zapier or an API.

Look also supports built-in apps and external sources for content such as Power BI, weather, RSS, Google services, YouTube, social content, reviews, web pages, and other live information.

The useful principle here is simple:

Do not manually recreate information that already has a reliable source.

A KPI dashboard should not become a screenshot uploaded every Monday. A live timetable should not become an image that someone needs to replace every time it changes.

Weather data should not be typed into a design template. Every content element that safely inherits data from its source is one fewer thing somebody has to remember to maintain.

That does not mean filling every screen with live widgets. The amount of information should reflect the viewer’s dwell time.

A person walking past a corridor display may only have a few seconds to understand the message. Someone sitting in a waiting area may have several minutes.

A four-zone dashboard may work in an operations room and fail completely in a retail window.

More data is not automatically better signage.

Interactive Screens Can Connect the Display to an Action

A display can therefore become more than a passive publishing surface.

Possible uses include product catalogs, digital menus, information kiosks, surveys, self-service interfaces, directories, and wayfinding.

QR codes provide another interaction layer without requiring the entire experience to happen on a shared screen.

A retailer can link to a product page.

Proof-of-Play and ROI Are Not the Same Thing

Look includes playback analytics, online/offline monitoring, alerts, logs, and screen snapshots.

These tools answer:

Did the content actually play?

That is an important question, especially across a large-screen network.

Publishing a campaign to 80 screens does not necessarily prove that all 80 devices displayed it correctly. Proof-of-play, status monitoring, and screenshots help verify delivery.

But delivery is not the same as business performance. A playback report cannot tell you whether a promotion increased sales.

Live data can reach a screen without becoming another slide somebody has to maintain. That is the point where digital signage becomes less like a collection of TVs and more like a communication layer connected to real business events.

A good screen network should not create another place where information needs to be maintained. It should take information the business already knows – and put the right part of it on the right screen when it matters.
